When an employer selects a recruiter on TalentVine, that decision is based on trust. They’ve reviewed your profile, looked at your years of experience, considered your ratings and track record on the platform, and chosen to work with you. So when a different consultant reaches out to manage the role instead, it undermines that entire decision — and that’s a problem we need to address.
We’ve noticed a growing pattern where a recruiter will submit a bid through their own profile, win the role based on their credentials, and then hand it off to a different consultant within their agency to manage the client relationship and work the role. Whether intentional or not, this is a bait and switch — and it’s something we’re taking seriously.
Why This Is a Serious Issue
Employers don’t just select a fee and a set of terms when they choose a recruiter. They’re selecting a person. Their decision is shaped by factors like years of industry experience, platform ratings, placement success rates, and the reputation that recruiter has built on TalentVine.
When a different consultant steps in after the bid has been won, the employer hasn’t received what they agreed to. This creates several real problems:
- Employers lose trust — not just in the agency, but in TalentVine as a platform. If the person they chose isn’t the person they get, the credibility of our entire marketplace is called into question.
- It’s unfair to other recruiters — agencies who bid honestly and put the right consultant forward from the start are being disadvantaged by those who don’t.
- It damages your agency’s reputation — even if the substitute consultant is capable, the employer’s experience starts on the wrong foot. That first impression matters, and a bait and switch is difficult to recover from.
- It reflects poorly on everyone — this kind of practice erodes the trust and transparency that TalentVine is built on, and it makes the platform less valuable for all of our partners.
What’s Changing: $500 Admin Fee for Consultant Substitutions
To protect the integrity of the platform and ensure a fair experience for employers and recruiters alike, we are implementing a $500 administration fee that will be charged to the agency any time a bid is won by one recruiter and a different consultant is introduced to manage the role without prior approval.
This isn’t about penalising agencies — it’s about reinforcing a standard that benefits everyone. Employers deserve to work with the person they selected, and recruiters who bid with integrity deserve a level playing field.
We Understand Agencies Work as Teams
We know recruitment agencies operate as collaborative teams, and there are legitimate situations where one person may need to help submit a bid on behalf of another. That’s completely fine — TalentVine is designed to support this.
The key is simple: the bid must always be submitted under the name of the recruiter who will actually manage the role. If that’s not the person submitting it, use the “Submit on Behalf” feature so the right consultant is attached from the start.
Before submitting on someone’s behalf, take a moment to:
- Confirm which recruiter will be actively managing the role
- Submit the bid under that recruiter’s name (not your own)
- Double-check all bid details — fees, terms, and any additional notes
- Keep a record of bids submitted on behalf of recruiters for your own reference
Only recruiters with Admin Access are authorised to submit bids on behalf of another recruiter.
How to Submit a Bid on Behalf of Another Recruiter
It’s straightforward:
- Log in to your TalentVine Admin account
- From the left-hand menu, click Your Agency
- Under the relevant recruiter’s name (on whose behalf the bid is being submitted), click Submit Bid
- Select the correct Role and click Submit Bid
- Click Place Bid
- Enter the bid details and click Submit Bid to finalise
Using the Submit on Behalf function ensures the right recruiter is always attached to the right role — keeping things clean, transparent, and trustworthy for everyone involved.
